REQUESTING MOTOR POOL VEHICLES
***NOTE***
Motor Pool Driver Request (MDR’s) – form needs to be on file in the Physical Plant office before an employee or student is able to drive college vehicles. For us to receive this report, the Motor Pool Driver Request form needs to be filled out, signed and returned (O&M mailbox in Whitney Bldg.) to the Physical Plant office along with a copy of your driver’s license at least 2 weeks prior to driving. If a college employee is requesting a student to drive, please note on the form your name so that when the MDR is received concerning their driving history, we will know who to contact if their MDR comes back unapproved. If the report is not received at the time of your trip, Cheryl Heath will need to approve your request prior to driving a college vehicle.

Vehicle Request Form – Form needs to be completed by the requester with the account number to charge. Use 9361 for in-state travel and 9362 for out-of-state travel. The form will be forwarded to Mary Edmundson for her to reserve the vehicle. Mary will send a confirmation to you by e-mail letting you know what vehicle has been reserved. For any short notice requests let Mary Edmundson know via phone or in person ASAP.
If you have a cancellation, please let motor pool know by phone or e-mail as soon as possible so that your vehicle can be reserved for someone else.
Pick up and return vehicles at the Physical Plant area, south of the Dome Building. If you are leaving before 7 a.m., please pick up keys before 4:30 p.m. the night before. Keys for the vehicles are located in Mary Edmundson’s office, shop closest to the highway, they will be on the counter in the office on top of the motor pool request form that needs to be signed. Please leave the form on the counter, motor pool will check mileage before and after your trip. Take vehicles only if they are facing the street, these are serviced and ready to go. If a vehicle does not look ready, check with someone, it may be necessary to give you another one. When you return your vehicle, pull it in facing the fence, do not back it in! Do not leave it someplace else on campus, as we assume you are still using it. Roll up all windows and lock it. Place the keys in the metal key box located near the large gate.
Cellular phones are available to be checked out, it is best to take one on any long trip. Upon returning from your trip, please return it to the office or lock it up in the vehicle out of sight. If you make any calls on the phone, please inform
Mary Edmundson on how many were made.
INSTRUCTIONS ON USING VEHICLES
Be certain that the interior lights are off when you park it. If they still remain on when the door is shut, it will be necessary to turn them off manually when possible.
In cold weather, unplug the engine heater before you start the engine. Leave the cord on the fence, or if you will be gone overnight, take the cord with you to plug it in where you are staying. Do not “pump” the accelerator when trying to start. If it does not start immediately, stop cranking and re-try starting a few seconds later.
Do not use “cruise control” in wet or icy conditions. Retain control of the car manually.
Report any malfunctions. Many problems will only show up after the car has been driven for a time, or under certain conditions, give us as much information as possible as this will help to locate the trouble.
Use your seat belts.
VANS
Vans are parked in the N.E. corner of the upper Tech Center Parking lot. They are facing the parking lot. When returning, please pull them in facing the sidewalk, but do not park over the sidewalk. Do not back them in.
Be very careful when choosing drivers for the vans. They drive different than automobiles, they are much heavier and there are many more lives involved. Being a “good kid”, an avid student or a great athlete does not necessarily qualify someone to drive a van. A responsible person with a clean driving record plus experience driving vans, busses or trucks is preferred.
Keep seat belts fastened and do not allow passengers to loosen or move seats.
Start slowly until you have the “feel” of the van you are driving, then bring up your speed as you are comfortable with it. Avoid “over steering”.
Slow down and shift to a lower gear when descending steep grades. Do not ride your brakes as they can overheat and fail, or even catch fire. Keep your speed down and use the brakes sparingly to keep control of your speed, or for emergencies.
The weight limit for trailers towed by the vans is 3500 lbs. Do not exceed this limit.
PROBLEMS ON THE ROAD
A sheet with the phone numbers of individuals is in the glove compartment of each vehicle, contact them if you need assistance.
For your protection, all cars and vans are equipped with an emergency reflector flare kit (small cardboard box) for use in case a vehicle fails on the road. They are located in the trunk of the vehicles and on the floor in the rear of the vans, follow the instructions provided .
Typically you the driver will be responsible to handle most problems that arise. For example if you are in Casper or Cheyenne and your vehicle will not start you will need to call an automotive service provider and have them diagnose and repair the problem. You will be responsible for the charges at that time. Please submit receipts for the service upon your return and you will promptly be reimbursed. Should you have a more severe problem please contact the college and we will make arrangements for the repairs and your return.
