What is Directory or Public Information?

” . . . information contained in an education record of a student which would not generally be considered harmful or an invasion of privacy if disclosed.” (1988 Final Regulations)

Directory Information can NEVER include:

  • - Social security number
  • - Student identification number
  • - Race
  • - Ethnicity
  • - Nationality
  • - Gender

Before releasing any information, check for the withhold directory flag on the SPRO screen, line 7 in Colleague.

Can directory information be released to anyone who requests it?

  • NO - If the student has requested that directory information be withheld, no information may be released outside of N.W.C.C.D. except as provided by law. 

    •                SPRO screen, Line 7, with directory = N

  • YES - If the student has NOT requested that directory information be withheld.  

                   SPRO screen, Line 7 with directory = Y

Caution should always be used when releasing any directory information.

Note, if you do not have Colleague Access, please contact the Records Office regarding the student’s directory information.
